Information for registering and attending the camp

Arrival and departure

The camp will run from 9:00 a.m. on Saturday morning until 3:00 p.m. on Sunday afternoon. Scout youth members will need to arrive in time to set up their tents and be in full uniform for the Opening Parade by 10:00 a.m. on Saturday morning. Final closing parade will occur around 3:00 p.m. on Sunday. You should be able to depart from Bungendore at a comfortable time on Saturday morning to arrive by 9:00 a.m. Driving time is approximately two hours from the Bungendore area. You are welcome to independently arrange to arrive early and depart later by arrangement with the campground managers. For arrival, we will arrange to get the boom gate PIN code to you in the week before the camp. Scout uniform is to be worn travelling to and from camp. After Opening Parade, scout youths and Leaders will change into casual clothes for the day's activities.

Prerequisite

Scouts NSW requires every person over the age of 18 who is staying overnight with children on a Scouting event, to have a Working With Children Check (WWCC) and registration. This means that if you intend to camp in the same area as the Cubs, Scouts and Venturers (Joeys stay with their parents), you will need to get your WWCC and register as an adult helper on ScoutHub. If you cannot get a WWCC and register before the camp, you can stay in a tent in an adjoining area, stay in a caravan or an on-site cabin at Lake Tabourie. Unregistered adults will be asked not to enter the scout youth camping area at night. Apart from this requirement, we will try to run the camp in the normally casual and fun way. In future you will need the WWCC to attend any overnight tent-based camp so go through the process now or as soon as possible - it's free.

The steps to register are:

  1. Apply for your WWCC. This can take a couple of weeks.
  2. Once you have a WWCC number, register as an adult volunteer on ScoutHub.
Registration for the Camp
  1. For the Bungendore Scout Group:

    • Complete one registration process for your family (not one per person), from the 'Events' tab on the Bungendore Scouts website. Follow the steps to register for the Camp after clicking the "Attend" button.

    • RSVP to the electronic Operoo permission form for your scout youth member or yourself (if a registered scout member). Print out and sign a paper version of the Operoo permission form for all other family members who are attending (PDF file appended to the bottom of this page).

  2. For your camping booking: Lake Tabourie Park operators (Managed by Alana & Jarita) will handle all bookings for family groups apart from the youth members. They will allocate reserved sites near the large shed where scouts will camp, on a first-come basis. When the “reserved” sites are depleted, other locations in the park will be allocated. We suggest the following methods to reserve your site:

Cost

The cost that the Bungendore Scout Group will charge is for two separate components: camping fee and catering. 

  • $25.00 per person to camp in unpowered tent sites for one night (Saturday). Only scout youth members from Cubs to Venturers, Adult Leaders and registered adult helpers with a WWCC can choose this option in the registration process. Everyone else needs to contact the Lake Tabourie Park office to reserve one of the powered and unpowerd camp sites that are being held in the name of Bungendore Scouts, or make an independent booking. 
  • $25.00 per person is for catering. You can join in with communal cooking or do your own thing. Catering covers breakfast Sunday (cereal, bacon, eggs, sausages) , lunches on Saturday and Sunday (salad, cold meat, wraps), dinner Saturday (spaghetti bolognese and fruit), morning and afternoon snacks (fruit, muesli bars), tea and coffee. Gluten-free options will be available. To join the communal meals, pay $25 per person.

Please indicate in the registration choices after you click the 'Attend' button, how many of your family members are to be included in this camping ($25.00) and catering ($25.00) arrangement.

Invoicing

Registration on the Bungendore Scout website will create an invoice of $0 value. Just ignore the invoice and payment screens you will see as you complete the registration process. After you have registered, an invoice will be issued manually for the number of people in your family that are paying the camping fee and/or catering fee.

Lake Tabourie Park managers will invoice you directly for other sites you occupy.

Who can attend

All members of a family are welcome to attend (including non-scout member siblings of scout youth). Scout members must be registered. All members of your family must complete an Operoo form to attend. A printable version of the permission form is available for download at the bottom of this text box, or from Operoo activity profile that comes to you or your scout member. Please print as many paper copies as you need to cover other family members and hand them to Kylie or Craig on Saturday morning.  

Tent accomodation arrangements

Cubs, Scouts and Venturers are to sleep in tents. Cubs sleep in tents provided by the Group. Scouts and Venturers can use their own tent or borrow one of the Group tents. Joeys will sleep with their parents. Parents are reminded that they are not allowed to enter tents that are occupied by multiple children unless accompanied by a uniformed Leader. (Leaders only enter tents when there are two of them.)

Activities and Duty of care

The Leaders will manage a wide range of popular activities (raft building, canoeing, wide game) for the youth scout members from Opening Parade to Closing Parade. During these scout activities, the Leaders are responsible for the scouts who are participating. If scouts are given "free time" (possibly an hour or so on Saturday afternoon), responsibility for care will revert to parents. The Lake Tabourie Tourist Park has facilities like a swimming pool, bouncing pillow and a playground.

Running the camp

The Parent Committee will organise catering and logistics. We will need parents to volunteer to help pack and transport equipment, run the camp kitchen (food preparationn and cooking) and dining area (hand and dish washing stations, general tidying). Volunteering at the Family Camp will count toward your volunteer contribution for the Term.

It is a scout policy that there is no alcohol on camps. The area around the large shed and the area where scout youth members are camping is to be alcohol free. You may enjoy an evening drink at your caravan, cabin, or tent away from the central area.
